Introduction

So you’re ready to move forward with Truckbays but don’t know where to start with moving over you customers. Well this guide should make your life easier and your customers process smoother.

Before getting started

The Truckbays onboarding is used for getting any monthly reservation customers onto the system. We don’t need to worry about daily reservations since they are considered one-off charges and aren’t automatically billed.

Notifying your customers

This is a really important step before we actually invite customers to sign up. We suggest notifying customers beforehand about the upcoming changes. Use your current channels to make this happen: Texts, Emails, Phone call, or even Pigeon Messenger haha. Some customers may ignore our emails and text if they aren’t notified by you, someone they trust.

Set expectations and emphasize on benefits

Truckbays might operate a bit different than you currently do so this is a great time to explain to them the changes and the benefits of making the switch.
For example:
  • Truckbays automatically charges all monthly reservations on the 1st of the month 📅
  • Truckbays charges customers a service fee to cover processing fees. Note: You can cover this fee as a host if you wish, reach out to us and we can toggle this. 💳
  • Truckbays allows your customers to open gates from the comfort of their vehicle using the mobile app 😎
  • Truckbays allows customers to handle all aspects of a monthly reservation easily through the mobile app, such as canceling the reservation for next month. Meaning one less phone call.🤩
  • Truckbays allows them to manage access to their drivers real-time! 🤠

 

How to onboard existing monthly customers to Truckbays

This guide will walk you through the process of onboarding existing customers to Truckbays. Follow the instructions below to seamlessly invite customers and complete the necessary steps for successful onboarding.
 

1. Click "Customers"

Access the "Customers" tab.

2. Click "Invites"

Navigate to the "Invites" section.

3. Click "Invite customers"

Select the option to "Invite customers".

4. Optionally toggle "Current Month Paid"

You can choose to toggle the "Current month is paid" if you already collected payment via the existing system or method that way he isn't charged on Truckbays again

5. Click on the Date Selector

Choose the date and time you want this reservation to start. Note, if the customer already paid then you can select today's date and this will allow him to start using the gate access.

6. Click "Next"

Proceed to the next step.

7. Choose the invite type(Manual)

If you have more than 5 customers you can upload a CSV, we can get you the template required to upload the customers successfully

8. Now select which bays this customer currently has assigned

When you assign that bay to the customer and the invite is created, those bays will be blocked to avoid duplicate reservations

9. Click "Next"

Click on the "Next" button.

10. Input the customers phone number

They will receive a text with a unique link to start the sign up process

11. Click "Next"

Proceed to the next step.

12. Select a coupon if Applicable

This is where you can assign or create coupons to discount customers off the current base price.

13. Set an expiration date

When a coupon is created, the customer only has a set time to accept it or the invite will expire and the bay will be canceled. I suggest always selecting the end of the month to give customers time.

14. Click "Invite"

Select the option to "Invite".

16. Click "Finish"

Complete the process by clicking on "Finish".

Access the "Actions" menu.

Note: You can leverage invites in the future not just for onboarding existing customers for the first time but also for sending specific invites to new customers. For example: You have a customer call you and ask for 3 bays, he would prefer they were grouped. You can go ahead and create an invite for say A1,A2,A3 with his desired check-in date and he will receive the link to reserve those specific bays
