Introduction
Using the transfer/change bays tab can seem complex due to the different types of transfers and changes. In this guide, we will clarify the distinctions between the three types and demonstrate how to use them.
Before Getting Started
Transferring bays is only possible for bays that have already been reserved. If you want to add a customer to a vacant bay, please refer to our thread on customer onboarding. Heres a description of all three options for transferring/changing bays.
Transfer bay(s) to a new customer
Transfer bays lets someone give their bay to a new or existing customer. For instance, if John wants to give Bay A1 to his driver Tom, he can do so. Once John starts the transfer, we automatically cancel A1 from John's account and invite Tom. Tom will get a message to set up his account and accept the bay. *Transfers always start the next month.
Swap bays between customers
Swap bays allows two customers to exchange their bays. For instance: If John has Bay A1 and Ricky has Bay A2, after swapping, John will have A2 and Ricky will have A1.
Change a customers bay
Change bay allows a customer to switch to a different or smaller bay. For example, if John has Bay A1 and wants to move to a similar-sized bay, he can be moved to any available bay either instantly or from the start of the next month. In another scenario, if John has Bay A1 (for a 75ft truck and trailer) but sells his trailer and needs a smaller bay for his bobtail, the transfer to the smaller bay can be started and it will come into effect the following month.
Step-By-Step
How to Transfer/ Change Bays.
This guide will walk you through the process of transferring or changing bays in the Truckbays application. Follow the engaging instructions below to efficiently complete the task. Refer to the text above to understand each of the options in the "Action Type" tab.
1. Click "Transfer/Change Bays" from the main dashboard.
Click on "Transfer/ChangeBays" to begin the process.
2. To transfer bays to a new customer select the option and click "Next"
Proceed by clicking on "Next."
3. Select the customer with the existing reservation you would like to transfer.
Choose the "Select" option.
4. Click "Next" to proceed.
Move forward by clicking on "Next."
5. Select the bay or bays you would like to transfer to the new customer.
You can select one or multiple bays.
6. Click "Next" to proceed.
Click on "Next" to continue.
7. Click on "Invite new customer" to transfer bays to a new driver/trucker.
Proceed by clicking on "Continue."
8. Enter the new customers phone number.
Then click on continue and it will prompt you to send a message to the new customer via SMS.
9. For transfering to an existing customer. Click "Select from existing customer".
Back in the "Transfer Type" tab chose the second option
10. Click "Continue" to proceed.
Continue by clicking on "Continue."
11. Select the existing customer to transfer the bays to.
Ensure that this customer has the correct bays to transfer.
12. Click "Next" to proceed.
Proceed by clicking on "Next."
13. Fill the check box to acknowlege cancelation of the previous reservation and select transfer to finalize.
14. For swaping bays between existing customers Click "I want to swap bays between two customers"
Click on "I want to swap bays between two customers." This option will only apply to 2 customers with existing reservations on Truckbays.
15. Click "Next" to proceed.
Proceed by clicking on "Next."
16. Click "Select" to chose the customer with the bays you would like to swap.
Verify the customer you are selecting has the correct bays to swap.
17. Click "Next" to proceed.
Proceed by clicking on "Next."
18. Select the bays you would like to swap.
Keep in mind you can only swap one bay at a time. To swap multiple bays you will need to finish and repeat the process.
19. Click "Next" to proceed.
Click on "Next" to continue.
20. Select the customer you would like to swap the bays to.
Ensure this customer has the correct bays to swap.
21. Click "Next" to proceed.
Proceed by clicking on "Next."
22. Click "Select a bay to swap" to select the bay you would like to swap for.
Click on the option to select a bay for swapping.
23. Select the bay number.
Enter the bay you would like to swap
24. Click "Save" to proceed
Save your changes by clicking on "Save."
25. Click "Next" to proceed.
Proceed by clicking on "Next." And review and confirm the swap in the next page.
26. For changing a customers bay select the option "I want to change a customers bay" in the "Action Type" tab.
Click on "I want to change a customer’s bay."
27. Click "Next" to proceed.
Proceed by clicking on "Next."
28. Select the customer with the bay you would like to move.
Ensure the customer you selected has the correct bay.
29. Click "Next" to proceed.
Proceed by clicking on "Next."
30. Select the current bay you would like to move.
Keep in mind you can only move one bay at a time. To move multiple finish the process and repeat it.
31. Click "Next" to proceed.
Click on "Next" to continue.
32. Select on the empty bay you would like to move the customer to.
Keep in mind using the "Change Bay" option you can only move a customer to an empty spot. To transfer the customer to a reserved spot go back to the "Action type" tab and select the option that best suits your needs.
33. Click "Next" to proceed.
Proceed by clicking on "Next."
34. Click "Confirm" to finalize the transfer.
Confirm your action by clicking on "Confirm."
